Review policy before changing checkout
A fee strategy affects customer experience as well as acceptance cost. Begin with the statement and contract review in part one and the calculation in part two. A modeled saving is not permission to surcharge or change a tender policy.
Surcharges and discounts need careful classification
Visa's U.S. surcharge guidance distinguishes credit-card surcharges from cash discounts and prohibits surcharging Visa debit and prepaid purchases. Other network requirements, applicable law, and your acquiring agreement also need review.
Confirm eligibility, any cap, required notices, receipt presentation, card identification, and refund handling with the acquirer and appropriate advisers before launch. Calling a charge a service fee does not establish how the rules classify it.
Test the customer and operating effect
A surcharge can recover some acceptance cost while causing lost sales or confusion. A discount can change tender mix but has its own cost. Measure basket contribution, repeat visits, checkout time, disputes, and refunds alongside fees.
Illustrative comparison: on $100,000 of eligible monthly sales, a hypothetical 1% recovery produces $1,000 before implementation cost and any lost sales. If the policy reduces sales by $5,000 at an assumed 25% contribution margin, the $1,250 contribution loss exceeds that recovery. This is a sensitivity example, not a forecast or suggested surcharge.
Online and private-label payment options
Online checkout and alternative payment programs bring separate authorization, fraud, refund, settlement, and customer-support questions. Confirm actual integrations and pricing. Do not assume an advertised lower interchange cost lowers the entire operating cost.
A store-specific action plan
- Establish total acceptance cost using comparable statement periods.
- Ask your processor to explain eligible routes and all contract fees.
- Review network and legal requirements for any proposed customer charge.
- Confirm checkout configuration and receipt presentation.
- Reconcile settlements with accounting records.
- Compare results net of customer and operating effects.
Discuss the payment arrangement alongside software pricing. No universal fee-reduction percentage or compliance guarantee applies to every store.
